Undertone (called MeetNotes until November 2026) is a free, open-source macOS app that records meetings and transcribes them on your Mac. It has no accounts of its own, and the only thing it can send to the developer is an email address, if you choose to leave one. This page explains what the app does with your data.
Recordings and transcripts
- Audio from your microphone and from your Mac's sound output is recorded only when you start a recording.
- Speech recognition, speaker separation and echo removal run on your Mac. Audio is never uploaded.
- Recordings and transcripts are saved as files in a folder on your Mac (
~/MeetingNotesby default). You can delete them at any time.
Google account
Connecting a Google account is optional. If you connect it, Undertone asks Google for these permissions, each only when you first use the feature:
- Google Calendar, read only (
calendar.calendarlist.readonly,calendar.events.readonly): to show your upcoming meetings with their title, time, attendees and meeting link, so you can record them in one click and label the transcript. Undertone never changes your calendar. - Google Drive, files created by the app (
drive.file): to save a transcript as a new Google Doc when you choose Save to Google Docs. Undertone cannot see any other files in your Drive. - Your email address (
email): to show which account is connected.
Calendar data is fetched straight from Google to your Mac and kept only in the app's memory, apart from the title and attendee names of a meeting you record, which are saved with that recording. The sign-in token is stored in your Mac's Keychain. Nothing is sent to the developer or to any third party.
Undertone's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements. Google user data is not used for advertising, is not sold, and is not used to train AI or machine-learning models.
You can disconnect the account in Undertone → Settings → Google, which revokes the app's access, or remove Undertone at myaccount.google.com/connections.
Feedback email (optional)
When you first open Undertone, it asks whether the developer may email you now and then to ask how the app works for you. The answer is no unless you turn it on and type an address. If you do:
- Your email address is stored with the app version and your preferred language in Google Firebase (Cloud Firestore), in a project only the developer can read.
- It is used only to ask you about Undertone. No newsletters, no advertising, never sold or shared.
- To be removed, reply to any such email and the address is deleted.
Network access
Apart from Google, if you connect it, Undertone downloads the speech recognition model once from Hugging Face and checks this project's GitHub releases for updates. Neither request contains your recordings or transcripts.
This website
This website counts visits with GoatCounter, a privacy-friendly, open-source analytics service. It records which page was opened, the referring site, browser, screen size and country, and clicks on the download buttons. It sets no cookies, does not store your IP address and does not track you across sites. The counts are used only to see how many people find and download Undertone. The app itself sends no analytics.
Recording other people
Recording others may require their consent where you live. Please let participants know when you record.
